Cancellation policy

Cancellation policy

Short version: Cancel any time from your dashboard or by emailing us. No cancellation fees. No notice period required. Your access continues until the end of your current billing period.

You may cancel your LoyalTrak subscription at any time, for any reason, with no penalty or cancellation fee.

How to cancel: Log in to your LoyalTrak dashboard at dashboard.loyaltrak.com → Settings → Account → Cancel subscription. Alternatively, email loyaltrak@outlook.com with "Cancel my account" in the subject line and we'll process it within one business day.

What happens when you cancel:

Annual plan customers who cancel mid-year are subject to the refund policy below.

Refund & dispute policy

Short version: We offer a 7-day refund on your first charge if LoyalTrak isn't working for you. After 7 days, charges are non-refundable but you can cancel to stop future charges.

New subscribers: If you are not satisfied with LoyalTrak within the first 7 days of your first paid charge, contact us at loyaltrak@outlook.com and we will issue a full refund of that charge — no questions asked.

After 7 days: Subscription charges beyond the first 7-day period are non-refundable. This applies to both monthly and annual plans. You may cancel at any time to prevent future charges, but we are unable to refund charges already processed.

Annual plans: If you purchased an annual plan and cancel within the first 7 days, you receive a full refund. After 7 days, annual plan payments are non-refundable, but you retain access for the remainder of the paid year.

Free trial: No charge is made during your 14-day free trial. You will only be charged if you choose a paid plan after your trial ends.

Billing errors: If you believe you were charged incorrectly, contact us at loyaltrak@outlook.com within 30 days of the charge. We will investigate and, if an error occurred, issue a correction promptly.

Chargebacks and disputes: If you initiate a chargeback or payment dispute with your bank or credit card provider before contacting us, we will work with Stripe and the relevant financial institution to respond to the dispute. We encourage you to contact us directly first — most billing issues can be resolved quickly without a formal dispute.

SMS & promotions

SMS messaging & promotional terms

LoyalTrak sends SMS text messages on behalf of businesses that use our platform. The following terms govern how those messages are sent and what recipients can expect.

Opt-in: End customers (the customers of businesses using LoyalTrak) opt in to SMS messages by texting a keyword to a business's designated number. This constitutes express written consent to receive SMS messages from that business via LoyalTrak. Customers can opt out at any time by texting STOP.

Message frequency: Message frequency varies by business. Customers may receive messages when they check in, earn a reward, receive a referral notification, or when the business sends a promotional broadcast. Standard message and data rates may apply.

Opt-out: Text STOP to any message to unsubscribe immediately. Text HELP for assistance. Once opted out, no further messages will be sent except a single confirmation of your opt-out.

Promotional broadcasts: Businesses on LoyalTrak Growth and Pro plans may send promotional SMS messages to their opted-in customer list. These messages are sent only to customers who have previously opted in by texting the business's keyword.

Terms of promotions: Any rewards, discounts, or offers sent via LoyalTrak are issued at the sole discretion of the individual business. LoyalTrak is not responsible for fulfillment of rewards or offers made by businesses using our platform. Contact the business directly for questions about a specific offer or reward.

Carrier compliance: LoyalTrak operates in compliance with US carrier regulations including A2P 10DLC registration requirements.

Privacy & data

Privacy & data handling

Business owner data: When you create a LoyalTrak account, we collect your name, email address, business name, and phone number. This information is used to operate your account, send you billing receipts, and provide customer support. We do not sell your personal information to third parties.

End customer data: LoyalTrak stores phone numbers of customers who opt in to a business's SMS loyalty program. This data is stored on behalf of the business and is used solely to operate the loyalty program (tracking visits, sending rewards, processing referrals). End customer phone numbers are not shared with other businesses or sold to third parties.

Data export: Business owners can export their customer data at any time from the LoyalTrak dashboard.

Data deletion: Upon account cancellation, customer data is retained for 30 days to allow export, then permanently deleted. You may request immediate deletion by emailing loyaltrak@outlook.com.

Third-party services: LoyalTrak uses the following third-party services to operate the platform: Stripe (payment processing), Twilio (SMS delivery), and Airtable (data storage). Each of these services has its own privacy policy and data handling practices.

Legal restrictions: LoyalTrak is available to businesses operating in the United States. Use of LoyalTrak outside the United States may be subject to additional legal restrictions. Export of LoyalTrak services is subject to applicable US export control laws and regulations.

Terms of service

By creating a LoyalTrak account or using any LoyalTrak service, you agree to the following terms. LoyalTrak is a product of Point5 LLC.

Eligibility: You must be at least 18 years of age and operate a legitimate business to use LoyalTrak. By using our service you represent that you meet these requirements.

Acceptable use: You agree to use LoyalTrak only for lawful business purposes. You may not use LoyalTrak to send unsolicited messages, spam, or messages to customers who have not opted in. You may not use LoyalTrak to send messages that are illegal, deceptive, harmful, or in violation of applicable law.

Your responsibilities: You are responsible for ensuring that your use of LoyalTrak complies with all applicable laws and regulations, including SMS marketing laws (TCPA), and that all end customers who receive messages through your LoyalTrak account have opted in appropriately.

Service availability: We strive to maintain high uptime but do not guarantee uninterrupted service. We are not liable for any losses resulting from service outages or interruptions.

Changes to service or pricing: We reserve the right to modify features, pricing, or these terms at any time. We will notify you by email at least 30 days before any price increases take effect. Continued use of LoyalTrak after changes constitutes acceptance of the new terms.

Limitation of liability: Point5 LLC's liability to you for any claim arising from use of LoyalTrak is limited to the amount you paid in the 3 months preceding the claim. We are not liable for indirect, incidental, or consequential damages.

Governing law: These terms are governed by the laws of the United States. Any disputes shall be resolved in accordance with applicable US law.
